Should I wait to book our rooms after we are accepted into the event and/or wait until closer to the event start date?

No. The most popular hotels with the best rates, favorable room types which are close to the venue(s) and/or location will sellout very quickly. Plus, some events grow in numbers from year to year resulting in an increased demand for rooms. We encourage you to book your room(s) as far in advance as possible. In most cases you always have the option of canceling your reservation at a later date (please be sure to review your hotel's cancellation policies).

Do I have to book my hotel reservation(s) through you?

Some events we work with make it a requirement for attendees to book rooms through us. If the event you are attending requires you to book through us it typically will be stated within the event's credentials (i.e. registration information) and possibly on the events website. If there is any confusion, please feel free to contact us 269-978-2418 or you may contact the event organization.

Can I call the hotel(s) directly to book my reservation(s)?

Please do not contact the hotels directly. Our agreements with the hotel(s) do not permit them to take reservations directly. All reservations must be made through us to ensure reservation and room type accuracy, and guaranteed rate(s).

Yes, reservationists are available Monday - Friday 9 AM - 6 PM Eastern Time and Saturday 9 AM - 1 PM Eastern Time at (888) 417-6446. If you call after business hours, please leave a message with your first and last name, event you're attending, best daytime phone number and short message and you will be contacted the next business day.

Is there a shuttle service to and from my hotel to the event and/or venue location?

Shuttle service to your event's venue and/or location maybe available and varies based on the specific hotel & location. It is best to check with your hotel prior to your arrival.

Availability of suites and suite types can vary from hotel to hotel; but can be accommodated based on availability, please contact us at 269-978-2418. Based on availability we will get you the best available rate.

How do I request an early check-in or late check-out time with the hotel?

Requests for early check-in cannot be guaranteed and will be handled based on the hotels availability at the time of your check-in. Since hotel policies regarding late checkout vary by location and by hotel, please make necessary late checkout arrangements at the hotel's front desk.

Can I still get my reward's points when booking with you?

Yes, please type your reward's card number into the special request box when making your individual reservation online. If you are booking your reservation over the phone, please provide your reward's number to the reservationist taking your reservation. You also have the option of providing your reward's number to the hotel at time of checkin.

Is my credit card and personal information safe and secure?

We want you to feel confident when making your reservation(s) with us, so we are committed to protecting the information we collect. In the event your team/club or group is not accepted we will release your reservations at no charge and/or penalty.

Not a problem, just make an approximate guess and we can always add or reduce the number of rooms in your room block at a later time.

Do I have to gather credit card numbers from my parents and send you a rooming list?

No. Upon submitting your hotel request and receiving your hotel placement via email, you will be provided with a secure online group reservation webpage allowing each individual to make and manage their own reservation online. It is very convenient and simple!

I need more rooms added to our room block?

If you find that you need more rooms then you initially blocked, please contact us either by phone or email, and based on availability we will add more rooms to your room block.

We want to book a meeting room or party room?

Most hotels we work with have a dedicated sales person that handles these types of requests and will be able to more efficiently assist you than we would; please contact the hotel directly and ask for the sales department.
