Should I wait to book our rooms after we are accepted into the tournament?
To ensure availability and favorable room types we encourage you to book your rooms prior to the acceptance date. In the event your team is not accepted we will release your reservations at no charge and/or penalty.

Do I have to gather credit card numbers from my parents and send you a rooming list?
No. Upon submitting your hotel request and receiving your hotel placement via email, you will be provided with a secure online team reservation webpage allowing each individual to make and manage their own reservation online. It is very convenient and simple!

I don't know how many rooms my team will need?
Not a problem, just make an approximate guess and we can always add or reduce the number of rooms in your room block at a later time.

I need more rooms added to our room block?
If you find that you need more rooms then you initially blocked, please contact us either by phone or email, and based on availability we will add more rooms to your online room block.

Can we call the hotel(s) directly to book our reservations?
No. Our agreements with the hotel(s) do not permit them to take reservations directly. All reservations must be made through us to ensure reservation and room type accuracy, and guaranteed rate.

We want to book a meeting room or team party room?
Most hotels we work with have a dedicated sales person that handles these types of requests and will be able to more efficiently assist you than we would; please contact the hotel directly and ask for the sales department. Feel free to contact us if you are having a hard time getting in contact with someone that can assist you.

Are suites available?
Requests for suites can be accommodated based on availability, please contact your hotel registrar located at the bottom of your online rooming list webpage and he or she will assist you.

How do I request an early check-in or late check-out time with the hotel?
Requests for early check-in will be handled based on hotel availability at the time of check-in. Should you need to confirm an earlier arrival than the hotel's standard check-in time, please contact the hotel directly. Since hotel policies regarding late checkout (generally after 12:00 p.m.) vary by location and by hotel, please notify the hotel at the time of check-in to make the necessary arrangements and to avoid any charges related to a late check-out.

Can I book my reservation over the phone?
Yes, reservationists are available Monday - Friday 7 AM - 5 PM Eastern Time and Saturday 8 AM - 12 PM Eastern Time at (269) 978-2418

Can I still get my reward points when booking with you?
Yes, please type your reward's card number in the special request box when making your individual reservation online.

Do we have to book our hotel reservations through you?
Some tournaments we work with make it a condition of acceptance into the tournament to book through us. If the tournament you are attending requires you to book through us it will stated on the tournaments website page located on our website.

Is my credit card and personal information safe and secure?
We want you to feel confident when making your reservations with us, so we are committed to protecting the information we collect. While no Web site can guarantee security, we have implemented appropriate administrative, technical, and physical security procedures to help protect the personal information you provide to us. For example, only authorized employees are permitted to access personal information, and they only may do so for permitted business functions. In addition, we use encryption when transmitting your sensitive personal information between your system and ours, and we employ firewalls and intrusion detection systems to help prevent unauthorized persons from gaining access to your information. The Information We Collect: We collect personally identifiable information ("Personal Data") about you that you specifically and voluntarily provide to us while using the Site. Can I pay online with a credit card?
Yes, upon completing and submitting your online registration you will be forwarded to your secure, dedicated account page. On your account page you will have the ability to pay the registration fee and/or deposit online. Some tournament directors choose not to provide the option to pay online and therefore you will have the ability to print and mail your registration payment form with a check to the address specified on the payment registration form.

Do we get a refund if we are not accepted or drop-out?
Please refer to your online account page for specific tournament refund policies and how to request a refund.

Can I mail in a check for the registration fee?
Yes, upon completing and submitting your online registration form you will be forwarded to your dedicated account page. On your account page you will see a link to click on allowing you to print and mail your registration payment form with a check to the address specified on the payment registration form.
